Pinwork Guide

Use this guide to find Pinwork support documentation, learn how features work, check what happens before you take an action, or troubleshoot something that is not behaving as expected.

The guide is organized by the thing you are trying to do: get started, capture tasks, plan your schedule, organize projects and tags, use Apple ecosystem features, automate workflows, manage access and sync, or solve a problem.

Start here

Use these pages to understand the app layout, the main lists, and where features live on each device. Start here if you are setting up Pinwork for the first time or trying to find a section of the app.

Capture what is on your mind

Add tasks from the app, menu bar, widgets, Apple Watch, Siri, Shortcuts, the Share Sheet, Apple Pencil, Apple Reminders import, or deep links.

Work with tasks

Tasks can be edited, completed, deferred, duplicated, linked, converted, archived, or organized into projects and tags.

• Notes and checklists: add supporting detail and subtasks.

Plan and schedule

Open Pinwork and know what needs your attention. Today keeps the present focused, Upcoming shows what is ahead, and missed tasks can roll forward automatically.

• Scheduling a task: When dates, deadlines, Smart Defer, snooze, and recurrence.
• When vs Deadline: plan work separately from real due dates.
• Defer and snooze: move a task or hide it until later.
• Recurring tasks: repeat tasks, preview the future schedule, complete the current occurrence, and skip ahead.
• Calendar: create and manage linked Apple Calendar events from tasks.

Focus

Focus sessions connect the task you are working on to a built-in timer, Live Activities, and Apple Watch controls.

Organize

Use projects, tags, and optional workflows when your task list needs more structure.

• Projects: group related tasks and understand project status.

• Workflows: Inbox, Today, Upcoming, projects, tags, optional GTD mode, Waiting For, Someday/Maybe, and Review.
• GTD mode: turn the optional GTD workflow on or off.
• Waiting For and Someday/Maybe: track blocked tasks and future ideas.
• Review: clear Inbox and check GTD lists.

Apple ecosystem

Pinwork is built for the Apple ecosystem, so you can check progress or add a task without opening the main app.

• Widgets: add Task Progress widgets and use interactive widget actions.
• Controls and Lock Screen: open Pinwork from system controls and protect Lock Screen titles.

Automation

Use keyboard shortcuts, the command palette, URL schemes, AppleScript, Spotlight, and Focus Filters to make Pinwork fit your system.

Account and data

Pinwork does not require a Pinwork account. Your tasks live on your device and sync through your private iCloud database when iCloud is available.

One plan covers iPhone, iPad, Mac, and Apple Watch. If access is interrupted, Pinwork keeps your data visible and blocks editing until access is restored.
