Filter and sort tasks

Use Filter when you want to see a smaller part of a list. Use Sort when you want to change the order of the tasks that remain.

Filter and Sort controls are available in Today, Upcoming, Inbox, All Tasks, Waiting For, Someday/Maybe, Archive, and each project. Pinwork shows only the choices that make sense for the current list.

Open the Filter menu in the list toolbar, then choose one or more criteria. Depending on the list, you can filter by:

  • status
  • When date
  • Deadline or overdue state
  • snoozed state
  • recurrence
  • estimate
  • tags
  • project
  • date range

Different filter groups work together. For example, selecting a project, a tag, and Has Due Date shows tasks that satisfy all three groups. Selecting more than one tag or project matches a task that belongs to any selected item in that group.

Use Clear Filters to return to the full list.

Pinwork removes choices that would be redundant or misleading:

  • Inbox does not offer a When or date-range filter because Inbox tasks are unscheduled.
  • Today and Upcoming already define their date scope, so they do not offer a separate date-range filter.
  • A project does not offer a project filter because its task list already belongs to that project.
  • Archive uses completion-focused date ranges and terminal statuses instead of active-task date filters.

Open the Sort menu and choose an order. Available choices depend on the list and can include:

  • When
  • Manual
  • Due Date
  • Deadline Urgency
  • Estimate
  • Created Date
  • Modified Date
  • Date Completed
  • Alphabetical

Automatic sorts also offer Ascending and Descending.

Choose When in Today or Upcoming. Tasks with a specific time appear before tasks that have only a day. Timed tasks are ordered by their time, while untimed tasks stay below them.

Today keeps overdue work above today’s work. Upcoming keeps its day sections and changes the order inside each day.

Choose Manual when you want to drag tasks into an exact order. Exact reordering is not available while an automatic sort is active because the selected rule owns the order.

In Upcoming, dragging a task to another day still reschedules it while an automatic sort is active. Exact placement inside the day is available only in Manual order.

Pinwork remembers filters, sort order, and direction separately for each main list and for each project. These presentation preferences are stored locally on the current device. They do not change task data and do not sync through iCloud.
